Offering the now familiar tabbed-style format, the redesigned Ownership/Guardianship module provides a more user friendly experience in addition to greater flexibility within the module itself. New functionality allows users to Search by Ownership Operations as well as add multiple animals and duplicate Animal Records. In addition, users can now access all Documents in the Summary page which also allows jump-to options.
The Edit Ownership/Guardianship in PetPoint is a three screen process that will allow a shelter to track the ownership history of animals with or without the animal having to have gone through an intake & outcome process. It will also register animals to 24PetWatch with any microchip information given, and without doing an intake or outcome process, or ever recording the animal as active in your database.
How does this differ from an actual Intake?
This offers the shelter the ability to:
Perform Microchip Clinic without the need to Intake the animal
Ability to change the ownership details after a successful adoption to a new Person Number
Tie an animal to a person for fund raising/volunteer/foster profile (without the need to process an Intake)
Tie a person to an animal for exam/vaccinations without the need to process an Intake
If
a microchip has already been registered, it will be re-registered
after a change in Ownership
The first page of the Ownership/Guardianship page now allows you to search directly for Ownership/Guardianship records:
The available Search Criteria for Ownership/Guardianship records are Ownership Number and Ownership Date Completed. You can also select to search by Person, by Animal, or the "Last 10" Ownership Records searched.
This step should be used if the user is trying to view or edit existing ownership records only.
When searching by Animal, the new Advanced Animal Search within Operations is available:
To create a new Ownership/Guardianship Record, click the green button for “Create New Ownership/Guardianship.”
After clicking "Create New Ownership/Guardianship," the Person Tab will be displayed. This is where you will select the Person as Owner/Guardian. You can search for existing person records, or click "Create New Person" to add a new person record:
Once you select a person record, or click to create a new record, the embedded tabs from Edit: Person will display:
These Edit: Person tabs can be used to make an necessary edits to the person record at this time, such as updating the contact information or Associations.
Once the person has been selected or added and necessary edits completed, click on the Animal tab.
Just like the Person tab above, the Animal tab allows you to search for existing animal records or to "Create New Animal":
If you click to "Create New Animal," a new tab will open allowing you to enter the new Animal Details:
Click "Add Animal" to add the animal to the database and select it for the current Edit Ownership/Guardianship operation.
Once you have searched for or created the Animal record, the animal will be added to the current operation, reflected in the box at the top of the screen:
The Animal tab contains an embedded Edit: Animal screen, so that any necessary changes to the record can be made at this time:
The embedded Identifications tab can be used to add microchips to the Animal Record:
As always, microchips on Animal records that are processed through Edit Ownership/Guardianship will be registered or updated on 24PetWatch.
After an animal has been added to the operation, the "Duplicate Selected Animal" button will appear at the bottom of the screen. This button can be used to copy the current Animal Details into a New Animal Record. This is useful if you are entering multiple animals (such as a litter) through Edit Ownership/Guardianship:
Once the Person and Animal has been selected, you can click on the Details tab to review the Ownership/Guardianship before submitting:
The "Completed By" field can be edited at this time, if necessary.
The fields on the detail tab are:
Clicking "Submit Ownership" will complete the creation of the Ownership/Guardianship record.
Note: the "Submit Ownership" button can be clicked from any tab, not just Details, as long as there is a Person and Animal selected.
Once the record has been submitted, the Summary tab opens. This is similar to the Summary Tab in Medical. It has a Person Info section, Actions, Animal Info and Operation Details.
This screen can be used create receipts (using the "Create Receipt" button) or print any documentation, using the Print drop down menus.
