Incoming Applications

Navigate to Reports - Incoming Applications to see if you have any Pending Adoption Applications.  

 

You may set up an email account to be notified when there are applications submitted.  An administrator should update the Add/Edit Company Info page with that person's email address.

Click the Download button to import the Potential Adopter's info and their application into your PetPoint database.  You may review, approve, decline and make updates & edits to the applications which have been downloaded under Edit Adoption Application.

 

Potential adopter information will also be added to PetPoint as an additional Person record which you have the ability to add associations to or update on the Edit Person screen.  PetPoint will check for duplicate person matches based on first name + last name + home phone number.  If a duplicate is found, the application will be attached to that person.  Any person who is already existing in your PetPoint database will not have their name and phone number updated by the Application process.  Any duplicates that PetPoint was unable to match up automatically for you can be fixed by an administrator by going to Admin Options - Merge Duplicate.

 

Matches are done only based on First Name / Last Name / Home Phone -- if any of those 3 don’t match a new person record is created.  Matching on Addresses of any kind is not done.  When a duplicate match is found based on First Name / Last Name / Home Phone, and the application is attached to the existing person record:

For NEW person records that are created because no match was found based on First Name / Last Name / Home Phone check, the person’s Home Address, Home Phone, non-Home Phone, email address, and DOB are all added when the person record is created.
